KeyWords Studios is looking to hire a smart and energetic coordinator to complete day-to-day assistance and support for the Distribution Support Services Organization of one of our Pharma clients.

Day-to-day tasks include:

  • Daily Transaction Support
    • Receipt of Finished Good Materials
      • Collaborate and communicate with packagers and warehouses within global network to schedule incoming material.
      • Obtain required documentation from multiple sources coming from the following:
        • Packager/Out of US Packager
        • Hub/Depot
      • Create receipt files and manage transfer of documentation to warehouse personnel
    • Shipment of Finished Good Materials (Domestic and International)
      • Order management
        • Confirm shipments in client’s warehouse management tool
        • Track/confirm/receive Proof of Delivery
        • Track/confirm/receive Acknowledgement of Receipt
        • Communicate with carriers and hubs/depots to facilitate shipment activities
      • Author required documentation (e.g., Clinical Trial Material Readiness Confirmation, Wood pallet declaration, GMP storage declaration, etc.)
      • Obtain required documentation from multiple sources
      • Create shipping shipping files and manage transfer of documentation to warehouse personnel
      • Schedule international shipments and undeliverables returns
    • Manage group email boxes and process data and requests
  • Managing time-critical trial reordering processes
  • Daily Pending Shipments / Confirmed Shipments Report and Proof of Delivery Report Oversight Reports as requested by the management


  • 4 year college degree
  • Experience with inventory management, distribution and logistics – preferably Clinical Trial
  • Ability to manage multiple priorities and meet timelines
  • Ability to build collaborative working relationships
  • Working knowledge of cGMP and cGDP requirements
  • Critical thinking and problem solving skills
  • Good written and verbal communication skills
  • Learning agility and self management skills
  • Ability to learn a variety of IT systems (e.g. CT Win, Regulus, Excel tools)
