The Project Manager provides direct support to the Coordinator of the Media & Entertainment (M&E) team in Brazil, assisting with production-related decisions and overseeing all stages of ongoing projects. This role is responsible for ensuring that all production processes follow established timelines, guaranteeing on-time deliveries, and maintaining clear communication with internal teams, talent, freelancers, and clients.
The ideal candidate is highly organized, proactive, deadline-driven, and capable of managing multiple workflows simultaneously. They must be comfortable working with spreadsheets, internal tracking systems, approval processes, documentation, and continuous monitoring of all production phases—from pre-production through post-production.
Key Responsibilities
- Ensure that all project production processes are executed within established deadlines.
- Provide daily status updates to the Coordinator regarding all ongoing productions and workflow stages.
- Manage and update client financial spreadsheets, including daily freelancer cost updates.
- Maintain direct communication with clients, delivering weekly progress reports and status updates.
- Negotiate delivery dates and timelines with freelancers based on project demands.
- Manage multiple project timelines simultaneously, ensuring alignment across all teams and production stages.
- Create and maintain comprehensive project cost spreadsheets, covering all phases of pre-production, production, and post-production.

Experience & Requirements
- Strong project management skills, with the ability to oversee multiple workflows and production stages simultaneously.
- Exceptional organizational abilities, ensuring accurate tracking of schedules, deliverables, and operational processes.
- Advanced communication skills (written and spoken), including the ability to report daily progress, coordinate with internal teams, and maintain direct communication with clients.
- Proficiency in managing spreadsheets (Google Sheets / Excel), including cost tracking, financial updates, and performance dashboards.
- Experience negotiating deadlines and aligning delivery expectations with freelancers and team members.
- High attention to detail, especially when handling documentation, approvals, financial data, and production tracking.
- Strong time-management capabilities, ensuring all project milestones and deliverables are met on schedule.
- Ability to work under pressure, balancing tight deadlines and multiple priorities across different stages of production.
- Proactive problem-solving mindset, anticipating workflow issues and recommending solutions.
- Comfort using internal communication tools, including email, chat platforms, and tracking dashboards.
- Familiarity with media, audio, dubbing, or content production workflows is a strong plus.
- Advanced English (written and spoken), required for client communication and documentation.
