Subtitling Vendor Assistant - Asia

We are looking for a detail-oriented and proactive Subtitling Vendor Assistant to support our operations within the Media & Entertainment service line. This role plays a key part in ensuring that the right linguistic resources are in place to meet fast-paced project demands across global markets. Reporting to the Resource Management Specialist, the Vendor Assistant will help source, onboard, and coordinate freelance linguists for a variety of subtitling projects for film, TV, and streaming content.
Job Responsibilities
- Resource Coordination & Onboarding
- Support the Resource Management Specialist in identifying, recruiting, and onboarding qualified freelance linguists, editors, and QA specialists across multiple languages.
- Coordinate testing and evaluation workflows in collaboration with internal stakeholders and language leads.
- Maintain accurate records of resource qualifications, availability, and onboarding status in internal systems.
- Project Support
- Assign resources to subtitling projects based on language requirements, availability, and performance history.
- Track project schedules and ensure resourcing needs are met for on-time and high-quality deliveries.
- Act as the liaison between linguists and project managers to facilitate smooth task assignments.
- Database & Reporting
- Keep internal tools and trackers updated, including rate cards, availability logs, performance data, and recruitment pipelines.
- Generate resource utilization and performance reports as requested by the Resource Management Specialist or team leads.
- Vendor Relations
- Communicate with freelancers on scheduling, onboarding, project expectations, and general inquiries.
- Help build and maintain strong relationships with high-performing language specialists.

Experience & Requirements
- Minimum 1–2 years of experience in resource coordination, vendor management, or localization operations—preferably in subtitling, audiovisual translation, or media localization.
- Comfortable Experience with working with spreadsheets, databases, ERP systems and resource management ATS (e.g., Airtable, Smartsheet, Excel, HireEZ, Workable, etc.).
- Strong written and verbal communication skills in English; additional languages are an asset.
- Excellent organizational and time management skills with strong attention to detail.
- Familiarity with subtitling tools and is a plus.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Preferred Qualifications:
- Experience supporting resourcing or production teams in a media localization or post-production environment.
- Understanding of subtitling workflows and quality standards in streaming and broadcast media.
- Familiarity with global freelance networks and regional language trends.
- Bachelor’s degree in Localization, Media Studies, Communications, Linguistics, or a related field.
