Role Overview

We are looking for a Receptionist & Office Assistant Intern to join our Workplace Services team, available to be on site daily at our offices.

Duties and Responsibilities

  • Unlocking all meeting rooms and HOD offices
  • Daily front office tasks, meet & greet visitors, switchboard duties and reception cover
  • Supporting the Team in ensuring our offices are fit for purpose at all times, by carrying out daily building checks, actively noting any housekeeping & maintenance actions, and escalate where necessary to the Workplace Experience Manager
  • Collaborate with the team in checking stock levels, sourcing and purchasing all business-related items e.g. all kitchen & food supplies, stationery, bathroom supplies, all meeting room crockery & cutlery, non-IT ergonomic items, any H&S items e.g. first aid kit supplies
  • Manage and monitor all our building access passes and keys and lockers,  including updating badge tracker and reordering keys and passes whenever needed
  • Supporting the team in the coordination of our Studio booking system for meeting rooms and production posts
  • Manage and monitor all our outgoing and incoming post and couriers
  • Support all soft maintenance, including reporting of faults of watercoolers, coffee machines , IT devices and building related issues, and oversee job log tracker together with the Workplace Experience Manager
  • Supporting the Workplace Experience Manager with any engagement and D&I activities, including setting up events and arranging for catering 
  • Coordinate employee gifts and gadgets together with the Workplace Assistants and Senior Workplace Assistant
  • Assisting with any other ad hoc and running errands as per request

Experience & Requirements

Skills & Experience Required

  • The ideal candidate for this role should have good standing and great organizational and communicational skills.
  • A previous experience in the hospitality or front office field will be considered a plus

Technical Skills

  • High School Diploma or Bachelor’s Degree in Hospitality or Marketing
  • Italian language is required
  • Good level of English
  • Good knowledge of Microsoft Office (PowerPoint, Excel and Word in particular)
