Administrative specialist takes on various roles within an organization to help ensure effective day-to-day operations. Responsible for organizing efficient work of the office (creating and supervising the observance of appropriate procedures), in charge of managing external vendors and supervision over the supply of articles necessary for the functioning of the office and organizing the work of cooperating companies.

Duties include providing administrative support to, senior management and employees. The person is responsible for accommodating guests and planning travel.

The individual is obliged to maintain confidentiality and show discretion, as well as represent the organization in an ethical and professional manner.

He/she cooperates with Office Administrator to make sure office space and security standards are maintained in office buildings.

Scope of duties in the position you hold includes the following activities:

  • Managing external vendors and suppliers
  • Negotiating contracts with suppliers and external contractors
  • Preparing reports, summaries and cost settlements
  • Creating necessary policies and procedures in the area of responsibility
  • Supporting internal/external audits
  • Ensuring the correct circulation of correspondence, documents and information
  • Participating in projects related to office development
  • Proposing and implementing solutions aimed at increasing comfort and well-being of employees
  • Assistance in organizing internal/external meetings
  • Support and be a backup for the Office Administrator
  • Serve as communication representative for all departments - preparing announcements, communication regarding events & CSR activities
  • Coordinating various company events – planning, communication, resources
  • Supporting projects building employee brand - charity and voluntary activities
  • Provide other administration services, as needed


  • At least 3 years of work experience in an administrative role in global company
  • Fluency in both Polish and English
  • Strong negotiation skills
  • Excellent level of customer service skills
  • High level of written and verbal communication skills
  • Outstanding organizational skills
  • Proficiency in Microsoft Office and high level of computer literacy;
  • Cost awareness
  • Initiative / entrepreneurship
  • Analytical skill and the ability to plan and coordinate tasks
